The short version: When you contact us through our website, we collect your name, email, business name, and message. We use that information to respond to your enquiry — nothing else. We don't sell your data, we don't spam you, and we delete it after 12 months. This policy explains the details.

AI Optimised is an AI services agency based in Fleet, Hampshire, UK. We help businesses implement AI tools to save time, reduce costs, and operate more efficiently.

For the purposes of UK GDPR, AI Optimised is the data controller for the personal information you provide through this website.

What data we collect

We only collect data that you actively provide to us. This website has one point of data collection: the contact form.

Name
Your first and last name, so we know who we're talking to.
Email address
So we can reply to your enquiry.
Business name
So we understand the context of your enquiry.
Message
The contents of your enquiry — what you need, what you're trying to solve, or any questions you have.

We do not use cookies for tracking or analytics. We do not run any advertising pixels or tracking scripts. We do not collect any data about your browsing behaviour on this site.

How we use your data

Simple: we use your contact details to respond to your enquiry. That's it.

We may follow up once or twice if we haven't heard back, or if we need more information to help you properly. We will not add you to a mailing list, send you marketing emails, or share your details with anyone outside of AI Optimised without your explicit permission.

Our legal basis for processing

Under UK GDPR, we need a lawful basis to process your personal data. When you submit the contact form, our legal basis is legitimate interests (Article 6(1)(f) UK GDPR).

Our legitimate interest is to respond to business enquiries made through our website. This is a standard, expected part of running a business — and you would reasonably expect a company to process the information you voluntarily submit in order to get back to you.

We've assessed that this processing does not override your rights and interests, as: (a) you're choosing to contact us, (b) the data is used only to respond to you, and (c) you can ask us to stop at any time.

How long we keep your data

We retain contact form submissions for 12 months from the date they are received.

After 12 months, we delete the submission unless it relates to an ongoing business relationship (in which case we'll hold it only as long as necessary for that relationship, and no longer).

You can request deletion at any time — see your rights below.

Third parties

We use a small number of third-party services to operate this website. Here's exactly what each one does with your data:

Google Fonts Font Loading
We use Google Fonts to load the Inter typeface. When this page loads, your browser makes a request to Google's servers to retrieve the font file. Google may log this request (including your IP address) as part of their standard server logs. We do not control this, but we use Google Fonts solely for typography — no user data is passed to Google from our side. You can review Google's privacy policy at policies.google.com/privacy.
Railway Form Processing
Our contact form submissions are processed and stored via Railway, a cloud infrastructure platform. Railway acts as a data processor on our behalf, meaning they hold your data securely but only process it according to our instructions. Railway's infrastructure is hosted in the EU/UK region. We do not sell, rent, or trade your personal data with any third party. We do not use your data for advertising.

Your rights under UK GDPR

Data security

We take reasonable technical and organisational measures to protect your personal data from unauthorised access, loss, or disclosure. This includes encrypted connections (HTTPS) for all data in transit and access controls on systems that store your data.

No system is 100% secure. In the unlikely event of a data breach that poses a risk to your rights, we will notify the ICO within 72 hours and you directly if required.
